Structure a data analyst resume around useful evidence

Choose a target role before writing the skills section. Reporting, product analytics and finance analysis can have different requirements. Use the job description to decide which experience deserves the most space, while keeping your job titles, employers and qualifications accurate.

Include contact details, a short relevant summary, experience or projects, technical skills and education. Students can place education and projects before employment. Experienced applicants should normally prioritise recent analysis work. Include a portfolio link when it helps a reviewer understand what you actually did.

For each project, answer four questions: What was the question? What data did you use? What did you do to check and analyse it? What conclusion or deliverable followed? State limitations when they affect the interpretation.

This is deliberately specific about the dataset and the work. It does not describe a personal project as an internship. If your portfolio uses public data, name the source and check its licence. If it uses synthetic data, disclose that near the project description.

Improve data analyst resume bullet points

Before

Created dashboards and generated insights using SQL and Excel.

After

Joined order and product tables in SQL to compare monthly category revenue, checked returns separately and documented the calculation used in the Excel report.

The rewrite makes the method and metric understandable. Add who used the report and a verified result when you have that evidence.

For work experience, show the audience or decision. A fictional example is: “Prepared the weekly stock report for the purchasing team, flagging products with incomplete supplier records before the replenishment review.” It explains a useful deliverable without claiming the report caused a sales increase.

When you have a measured efficiency result, explain what changed. Compare the same task before and after, state the period or scope, and avoid attributing all business growth to one analysis. If you recommended an action but it was never implemented, say “recommended” rather than “delivered”.

Metrics do not have to appear in every bullet. A clear definition, a documented quality check or a useful decision note can provide credible evidence even when the result is not a percentage.

Choose data analyst skills that you can demonstrate

SQL
Specify relevant work such as joins, aggregation, window functions or query validation. Do not claim every database platform because you know SQL.
Excel
Show the formulas, pivot tables, data cleaning or validation you used. A project can explain your level better than “advanced”.
BI tools
Name Power BI, Tableau or another tool you actually used, and connect it to metric definitions, data modelling or report design.
Python or R
Include these when applicable. Explain the analysis or automation, rather than listing packages without an example.
Analysis
Data quality, descriptive statistics, experiments or forecasting belong only when you can explain the method and its assumptions.

Build a portfolio project a reviewer can understand

  1. Write the question first.
    For example: which product categories account for the change in monthly revenue? Define the audience and why the comparison is useful.
  2. Describe the dataset.
    Include source, date range, units and whether it is public, synthetic or anonymised. Do not publish confidential employer data.
  3. Record quality checks.
    Explain duplicate records, missing values, joins and exclusions. Save the original data separately from your cleaned version.
  4. Explain the findings and limits.
    Include a reproducible query or notebook, a clear chart and a brief interpretation. Distinguish association from causation and recommendations from implemented results.

A small project with a sound question and transparent calculations can be easier to evaluate than a large dashboard with unexplained metrics. Check that your repository opens without special access and contains instructions a reviewer can follow.

Review your resume for the actual role

  • The summary and first project match the type of analysis in the job.
  • Tools in the skills section also appear in evidence.
  • Every dataset and business result is described accurately.
  • Claims separate findings, recommendations and implemented outcomes.
  • Links work and private data is excluded.
  • The exported resume has readable headings, selectable text and the requested file type.

Give a reviewer a reproducible analysis trail

Alongside a portfolio chart, provide the question, source, metric definition, cleaning choices and query or notebook. For a fictional support report, “average resolution time” needs a rule for reopened tickets and incomplete timestamps. Documenting that rule shows analytical care; claiming the dashboard improved service performance would require separate evidence from real use.

  • Define the metric before drawing the chart.
  • Document joins, exclusions and missing values.
  • Disclose public or synthetic data accurately.
  • Explain what the evidence cannot establish.
